16. Public Information Report

Step 1: Find Your Webfile Number

To file online, you need your Webfile number.

Look in your InstateMe folder or business documents for a file named something like:

Webfile

Your Webfile number may appear near the top right of the letter. It often starts with letters like XT.

If you already have your Webfile number, skip to Step 3.


Step 2: If You Do Not Have Your Webfile Number

If you do not have your Webfile number, contact the Texas Comptroller.

You can call:

Texas says this automated system can provide a Webfile number if you can provide confidential information from a previously filed report. If you cannot provide that information, you can request a duplicate report through the automated system. (Texas Comptroller)

If the Comptroller needs to mail something to you, make sure your mailing address is correct.

Step 3: Create or Log Into Your Texas Comptroller Account

If you already have an account, log in.

If this is your first time, create a profile.

You may need:

  • Your name

  • Your email

  • Security questions

  • Email verification

Step 4: Connect Your LLC to Your Account

Once you are logged in:

  1. Go to Assign Taxes/Fees.

  2. Enter your LLC’s 11-digit Texas Taxpayer Number.

  3. Select Franchise Tax.

  4. Enter your Webfile number.

  5. Submit the changes.

If you do not know your 11-digit Texas Taxpayer Number, you can look up your LLC using the Texas Taxable Entity Search.

Step 5: File the Public Information Report

After your LLC is connected to your account:

  1. Go to File and Pay.

  2. Choose Franchise Tax.

  3. Select File a Public/Ownership Information Report.

  4. Choose the correct report year.

  5. Confirm your mailing address.

  6. Enter the LLC’s owner, member, manager, or officer information.

  7. Review the report.

  8. Submit it.

For many student-owned LLCs, the person listed will be the student who owns or manages the LLC.

Use the title that best matches your role, such as:

  • Owner

  • Member

  • Managing Member

  • Manager

After submitting, save or print the confirmation page.

Upload the confirmation to your InstateMe folder.

If You Cannot File Online

Texas allows the PIR to be submitted through Webfile or by mail. (Texas Comptroller)

If you need to mail it, use Form 05-102, Texas Franchise Tax Public Information Report.

Mail it to:

Keep a copy for your records.

Important Note About BOI / BOIR Reporting

Older versions of this article may have said that you need to file a BOIR report with FinCEN.

That may no longer be correct.

As of FinCEN’s March 2025 interim final rule, U.S.-created entities, including domestic LLCs, are exempt from BOI reporting requirements. (FinCEN.gov)

Because this area has changed multiple times, check FinCEN’s official website or ask a professional before relying on older BOI instructions.


Separate Topic: Texas Sales Tax

Sales tax is separate from the Public Information Report.

You may need a Texas sales tax permit if your business is engaged in business in Texas and sells taxable goods or taxable services. (Texas Comptroller)

Examples of taxable goods may include physical products like:

  • Clothing

  • Jewelry

  • Electronics

  • Other tangible items

Texas has a 6.25% state sales tax, and local taxes can bring the total rate up to 8.25%. (Texas Comptroller)

There is no fee for a Texas sales tax permit, though Texas says a security bond may be required in some situations. (Texas Comptroller)

Do not apply for a sales tax permit just because you have an LLC. Apply only if your business actually needs one.


Quick Checklist

Before May 15:

  • Check whether your LLC needs to file a PIR

  • Find your Webfile number

  • Find your 11-digit Texas Taxpayer Number

  • Create or log into your Texas Comptroller account

  • Connect your LLC to your account

  • File the Public Information Report

  • Save the confirmation

  • Upload the confirmation to your InstateMe folder
